Student Records

Fauquier County Public Schools records requests from UNIVERSITIES, CORPORATIONS and ATTORNEYS will be fulfilled online ONLY. The Records Center will no longer accept such records requests via telephone or mail. Fauquier County Public Schools will no longer honor transcript requests made via third-party transcript providers such as "Need my Transcript." These requests will be returned to the sender.

The Virginia State Department of Education specifies certain information which must be kept as part of a student's educational record in his/her Cumulative Folder. The Cumulative Folder may also contain grades, shot records and other educational information.

A descriptive listing of all types of school system forms which may be a part of a student's record is available at each school for public review.

The Student Records Department only houses INACTIVE student files. ACTIVE student files are held at the student's school where they attend.

To obtain former student record(s), you now have two options: online or walk-in service. (Excluding Replacement Diplomas & GED.)

Online Services

Fauquier County Public Schools delivers electronic transcripts to post-secondary education institutions to enhance the level of service provided to former FCPS students. FCPS will be sending certified PDF transcripts through a service called ScribOrder. Requests for transcript and withdrawal student records/information may be submitted and paid for online using your credit or debit card.

Please refer to School Board Policy 3-3.13 for specific document fee details.

The following documents may be requested online:

High School Transcript: $6.00 (plus a $5.00 convenience fee).
Immunizations/Health Record: $6.00 (plus a $5.00 convenience fee).

Birth Certificate $6.00 (plus a $5.00 convenience fee).

Graduation Verification: $27.00 (plus a $5.00 convenience fee).

The FCPS e-transcript process is as follows:

  1. The former FCPS student (or institution) requests a transcript at https://fcps1va.scriborder.com.
  2. FCPS Records Department receives the request and prepares the transcript for a certified PDF delivery.
  3. The receiving institution will receive an email from Scribonline@scribsoft.com.
  4. Open the email and select the hyperlink to download the transcript from ScribOrder.
  5. On the ScribOrder web page, select “Send New Code”.
  6. Open your new email and copy your validation code and select the hyperlink.
  7. On the ScribOrder web page paste and (or type) in your code and select Verify.
  8. Select “Download” and the certified PDF transcript will be downloaded.

Requests will be processed during normal business hours (Monday – Friday 8:30AM – 3:30PM) excluding holidays and weather-related closings (unless otherwise noted on the Records web page).

Once the request has been submitted online, your payment will be processed and you will begin to receive emails from scribonline@scribsoft.com to notify you of the status of your order. It is important to read the emails carefully as additional information may be required to process the request.

All Third Party Requests for documents and/or verification of graduation must be completed online.

Walk-In Services

You may request records in person at the location provided. Walk-ins are only accepted during the hours of 8:30AM – 4:00 PM Monday through Friday.

Credit card, cash or personal check made out to FAUQUIER COUNTY is accepted for fee payment. A valid photo ID is required.

*Please note the records department is only able to accept the exact amount. Please refer to School Board Policy 3-3.13 for specific document fee details.

Transcripts/documents may be picked up between 8:30 AM and 4:00 PM Monday through Friday in Building B, Room 6 of the Central Complex next to Taylor Middle School. Be sure to include your full name at the time of graduation, the school and year in which you graduated or last attended, the last four digits of your Social Security number, and your birthdate. Identification such as a driver's license, birth certificate, or the last four digits of the Social Security number must be provided to prove identity.

CHALLENGES TO STUDENT RECORDS

Parents, guardians, or a student (18 or older) may challenge an item in the student's record by contacting the school principal. If a further challenge is necessary after a principal has reviewed the item, appeals may be made to:

If the matter remains unresolved, the parents, guardians, or student may have their own related statement included in the student's record.
